This Privacy Policy explains how Hosting Playground Inc collects, uses, shares, and protects information when you use TaskBill.io. TaskBill.io helps teams track time, manage projects and customers, create invoices, collect or record payments, and sync selected data with connected business tools.

1. Information we collect

We collect information you provide directly, including your name, email address, password credentials, company name, time zone, preferred language, account name, account settings, customer records, project records, task details, time logs, notes, invoice data, tax settings, payment records, uploaded logos or avatars, SMTP settings, support messages, and team invitations.

We also collect information created through use of the service, including account activity, plan and subscription status, accepted terms and privacy timestamps, notification settings, API tokens, session data, device or browser information, IP address, pages viewed, referral information, and analytics events.

2. Information from connected services

If you connect third-party services, we collect and process the information needed to provide those integrations. This may include OAuth identifiers, access tokens, refresh tokens, workspace or project identifiers, task names, task metadata, links back to third-party tasks, QuickBooks invoice and payment data, Stripe or PayPal payment events, and related sync status or error details. Access tokens are stored for as long as needed to keep the integration working or until you disconnect it.

3. How we use information

We use information to provide and operate TaskBill.io, authenticate users, manage teams and permissions, track time, calculate billable amounts and costs, create invoices, send customer and team emails, sync third-party data, process subscriptions and payments, provide support, troubleshoot errors, prevent abuse, improve the product, communicate service updates, and comply with legal obligations.

4. Cookies and analytics

We use cookies and similar technologies to keep you signed in, remember preferences, protect sessions, measure product usage, and understand marketing performance. The public website may use analytics and support tools such as Google Analytics, Plausible, Cloudflare Web Analytics, and Help Scout Beacon. Your browser may let you block or delete cookies, but some service features may not work correctly without them.

5. When we share information

We share information with service providers that help us run TaskBill.io, including hosting, database, email delivery, support, analytics, error monitoring, payment processing, subscription management, and connected integrations. We may also share information with your account owner or team members according to account permissions, with invoice recipients when you send invoices, with third-party services you connect, with law enforcement or regulators when legally required, and in connection with a merger, acquisition, financing, or sale of assets.

We do not sell your personal information. We do not use your customer, project, task, time log, or invoice content for third-party advertising.

6. Payments and billing data

Payment card and subscription processing is handled by third-party payment processors such as Stripe. TaskBill.io may store limited billing metadata such as processor identifiers, card brand, last four digits, expiration month and year, plan status, receipts, invoice payments, and webhook events. We do not intend to store full payment card numbers in TaskBill.io.

7. Email and customer communications

TaskBill.io sends account emails, invitations, password resets, product notices, customer invoice emails, receipts, and support messages. Account owners may configure custom SMTP settings to send invoice emails through their own email provider. If they do, those settings are used to deliver messages for that account.

8. Data retention

We keep information for as long as needed to provide the service, maintain accounts, comply with legal and tax obligations, resolve disputes, enforce agreements, prevent fraud, preserve backups, and support legitimate business needs. You may request deletion of your account or certain personal information, but some records may remain where retention is required or reasonably necessary.

9. Security

We use administrative, technical, and organizational safeguards designed to protect information, including account authentication, encrypted storage for selected integration credentials, access controls, backups, and monitoring. No service can guarantee perfect security. You should use strong passwords, protect two-factor recovery codes, limit team access, and disconnect integrations you no longer use.

10. International processing

TaskBill.io is operated by a United States company and information may be processed in the United States and other locations where we or our service providers operate. If you use the service from outside the United States, you understand that your information may be transferred to and processed in countries with different privacy laws than your country.

11. Your choices and rights

You can update many account details from within TaskBill.io. Depending on where you live, you may have rights to request access, correction, deletion, portability, restriction, or objection to certain processing. You can also opt out of marketing email by using the unsubscribe link or contacting us. We may need to verify your identity before completing a request.

12. Children's privacy

TaskBill.io is not directed to children under 13 and is intended for business use. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact us so we can take appropriate action.

13. Changes to this policy

We may update this Privacy Policy from time to time. The current version will be posted on this page with the last updated date. If changes are material, we may provide additional notice through the service or by email.
